WhatsApp groups are a great way to bring people together. But if you have a lot of people participating, managing a WhatsApp group can be difficult.
You need to set some guidelines for the members and enforce those guidelines as needed. It can all be overwhelming, especially if you haven’t managed WhatsApp groups before. Here are some tips to manage WhatsApp groups easily.
1. Stick to an Agenda
A WhatsApp group has been created with an idea in mind. Members may share a common interest or work on the same tasks. The idea of creating a group can be to improve team collaboration or just to have a good time online with friends.
Whatever it is, outline the purpose of the group. And if necessary, ensure that the group is not used for irrelevant activities that are not related to the group agenda.
If you have multiple agendas, creating a separate group for each is better than lumping them all into one group. Otherwise it will only create confusion.
2. Define the rules and remove content that goes against them
Large WhatsApp groups require rules to function properly. Clearly state in the rules what kind of behavior will not be tolerated in the WhatsApp group. Also determine what content can be shared in the group and what is prohibited.
The no-spam rule is necessary because spam is annoying, especially in a professional environment. Most importantly, restrict the things that can get you banned by WhatsApp and remove any content that goes against the rules. You can write your WhatsApp group rules in the group description so that everyone can read them.
To edit group details on WhatsApp, go to a group chat and tap the group name at the top of your screen. Select the Add group description option and write the rule. Tap Save and the group description will update.
3. Allow Multiple Administrators
If you are the sole admin of a large WhatsApp group, you will probably get overwhelmed sooner or later. Ultimately, each message must be checked by an admin to make sure it complies with the group’s rules. Therefore, having multiple admins in a large WhatsApp group is important to reduce the workload.
To make someone an admin of your group, in a group chat, tap the group name. Scroll down and tap the name of the person you want to make an admin. Then choose Make Group Admin.
We recommend having at least one administrator per 100 members. It will help you to monitor group and check who left or deleted whatsapp group.
4. Share joining link to public groups
If you manage a public group, you want more people to join. This can be done by sharing the joining link of the group. Just be sure to tell people what the group is about when sharing the joining link, so the purpose of the group is clear to them.
To create a joining link, go to a group chat and tap the group name at the top of your screen. Scroll down, and you will see an option named Invite Via Link. Tap on this option and the invite link will be generated. You can copy the link or generate QR code for sharing by selecting the QR code option.
Personal messages can also be sent to find potential new members. Just make sure never to spam people’s chats on WhatsApp, as doing so can get you banned.
5. Create a Community for Related Groups
A WhatsApp community is different from a WhatsApp group. It brings multiple WhatsApp groups under one umbrella by connecting groups in WhatsApp community. This is a great way to connect different WhatsApp groups with a single purpose, making them easy to manage.
Go to Communities and tap New Community. Type in a community name and add the relevant WhatsApp group to your community. Then select Create and start updating your community.
